This Shipping and Delivery Policy applies primarily to BUFSOU wholesale, distributor, reseller, and commercial orders.
1. Shipping Origin
BUFSOU wholesale bulk orders are normally shipped directly from China.
BUFSOU may maintain product samples in Ghana for viewing, demonstration, customer meetings, and market support. Unless expressly confirmed in writing, the availability of samples in Ghana does not mean that wholesale stock is available for immediate local delivery.
The shipping origin for each order will be confirmed in the quotation or pro forma invoice.
2. Order Confirmation Before Shipment
Because product availability, minimum quantities, production schedules, freight costs, and import requirements vary by order and destination, wholesale orders must be reviewed before shipment.
The normal process is:

Customer submits an inquiry or proposed order.

BUFSOU confirms product quantity, MOQ, price, availability, and lead time.

The destination and shipping method are confirmed.

Freight charges and payment terms are confirmed.

A quotation or pro forma invoice is issued.

Shipment is arranged after the required payment has been received.
An automatic website order confirmation does not guarantee immediate availability or shipment.
3. Processing and Production Time
Wholesale products may need to be sourced, prepared, consolidated, packaged, or produced after payment.
Estimated processing or production time will be provided before the order is finalized.
Processing time does not include international transit time, customs clearance time, local delivery time, weekends, or public holidays unless otherwise stated.
Estimated lead times may change because of:

BUFSOU will inform the customer of material delays when reasonably possible.
4. Shipping Methods
Available shipping methods may include:

Customer-appointed logistics service
The most suitable method will depend on the order size, product type, destination, delivery urgency, and local import requirements.
BUFSOU may recommend a shipping method, but the final method must be confirmed before shipment.
5. Shipping Charges
Unless otherwise stated in writing, wholesale prices do not include shipping charges.
Shipping charges are calculated separately based on factors including:

Volumetric weight

Number and size of cartons

Shipping destination

Shipping method

Fuel surcharges

Remote-area surcharges

Customs documentation requirements

Insurance requirements

Special handling
Any freight estimate provided before final packing may be adjusted if the final carton size, weight, carrier rate, or shipping condition changes.
Where a material freight adjustment is required, BUFSOU will seek the customer’s confirmation before dispatch.
6. Customs Duties and Import Taxes
Unless the quotation specifically states that duties and taxes are included, the customer is responsible for:

Import permits

Customs-broker fees

Product registration
-
Inspection fees

Storage charges
-
Destination handling fees

Other local government or carrier charges
The customer must provide accurate import and consignee information.
BUFSOU is not responsible for delays, penalties, confiscation, or additional costs caused by missing licenses, inaccurate information, restricted products, unpaid duties, or the customer’s failure to comply with local import regulations.
7. Incoterms and Delivery Terms
The applicable delivery term will be stated in the quotation, pro forma invoice, or written order confirmation where relevant.
Depending on the order, available arrangements may include EXW, FOB, CIF, CFR, DAP, DDP, or other agreed commercial shipping terms.
The responsibilities of BUFSOU and the customer, including freight, insurance, customs clearance, duties, and risk transfer, will be interpreted according to the agreed delivery term.
Where no specific Incoterm is stated, the responsibilities will be determined by the written quotation and shipping confirmation.
8. Delivery Estimates
All delivery dates are estimates unless expressly guaranteed in writing.
International delivery may be affected by:

Flight or vessel delays

Carrier disruptions

Local holidays

Political events

Regulatory changes

Force majeure events

Incorrect or incomplete consignee information
BUFSOU is not liable for delays caused by customs authorities, carriers, freight forwarders, port operators, government agencies, or events outside BUFSOU’s reasonable control.
9. Shipping Documents
Depending on the shipment and product, available shipping documents may include:

Commercial invoice

Air waybill or bill of lading

Certificate of origin, when available or requested

Product information documents

Other agreed documents
Requests for special documents, legalization, testing, certificates, or destination-specific paperwork must be made before the order is finalized.

10. Shipping Address and Consignee Information
The customer is responsible for providing complete and accurate information, including:

Telephone number

Email address

Tax or importer number

Customs registration details

Required import permits
Additional costs resulting from incorrect, incomplete, or changed information may be charged to the customer.
Once the shipment has been dispatched, address changes may not be possible.
11. Inspection Before Shipment
BUFSOU may conduct reasonable order and packaging checks before shipment.
Customers requiring third-party inspection, special testing, video inspection, or pre-shipment verification must request this before the order is confirmed.
Third-party inspection fees are normally paid by the customer unless otherwise agreed.
12. Partial Shipments
Where appropriate, BUFSOU may propose splitting an order into multiple shipments because of product availability, production timing, shipping restrictions, or customer urgency.
Partial shipment will be arranged only after the applicable costs and conditions have been confirmed.
13. Tracking and Shipping Updates
Tracking information, airway bill details, bill of lading information, or freight-forwarder contact information will be provided when available.
Some freight shipments may not provide real-time tracking.
14. Delayed, Lost, or Damaged Shipments
Customers should inspect all cartons and products promptly upon delivery.
Visible carton damage should be recorded with the carrier before accepting delivery whenever possible.
Claims concerning loss, shortage, leakage, breakage, or visible damage must be submitted according to the Wholesale Returns and Claims Policy.
Shipping compensation may depend on the carrier’s investigation, insurance coverage, and the agreed delivery terms.
15. Refused or Unclaimed Shipments
If a shipment is refused, abandoned, returned, or left unclaimed because the customer:

Does not complete customs clearance

Does not pay import charges
-
Provides incorrect information
-
Refuses delivery without an approved reason
-
Does not hold required permits
the customer will be responsible for all resulting costs.
These costs may include return freight, destruction charges, storage, customs penalties, handling fees, and reshipment costs.
